Property and Contact Manager Enhancements

In order to make CyberAgent Anywhere as fast as possible we have added the following controls to the Property and Contact Manager pages

1.       Records to return pull-down with the following options:

-          Top 100

-          Top 200

-          Top 500

-          Top 1000

-          All

Your selection will return the specific number of records in the selection. This will speed up the display of your contacts and properties.

2.       Record order

Previously one could click the heading of the grid and the order would be changed according to the heading clicked. If you clicked it again it would arrange the records in the descending order.  To order now, select the desired order from the pull down menu and click on the descending check box if you want it to be descending

After selecting the number of records and the order to display, click on the refresh button to update the grid accordingly

"New Matching Buyers for a Property" Form

The Matching Buyers form in the Property Manager has been updated.

It is now possible to ignore/disregard certain buyer requirements to filter the list of available buyers. 

Below the search criteria a list of matching buyers will be displayed. You will be able to click on the buyer link if you have access to view a specific buyer. If not, you will be able to email the agent/agents responsible for the buyer requesting the contact information.

New CyberAgent Features!

Agent Manager - Agent Teams:


It is now possible to select multiple agents in one team. Click on “New” to add a new Agent, complete only the Name and/or Surname fields with the team name and save. None of the other fields are used, so do not bother with them. Now click on the “Is Team” checkbox,
and select the agents belonging to the team by clicking on the “Team Members” button. The first agent selected will be the team leader.
Teams will be marked with a (T) in all agent selection pull down menus, and the team “Agent” will NOT display on the websites.
Of importance:

  • On the website all information of all the team members will be displayed when doing a property search.
  • Should a prospective client wish to contact the agent by SMS; an SMS message will ONLY go out to the team leader.
  • Should a prospective client wish to contact the agent by email ALL team members will receive emails provided that they have a valid email address.
  • When data is exported to other websites that is not hosted by us (e.g. Propertytrader) ONLY the detail of the team leader will be sent through and displayed on these websites.

Sms function:


Changes made to the SMS function; previously you were limited to sending only 160 characters. This function has been improved to allow you to send more than 160 characters. Still only a 160 characters are available, but should a SMS message now exceed 160 characters it will automatically change over into a 2nd SMS message or even more to facilitate the amount of characters. The system will indicate the number of SMS messages as you compose the message - you will be billed according to the number of SMS’s your message spans. The usual confirmation and feedback screens will also detail exactly how many SMS messages will be sent.

Property Manager:


Record order Toolbar:

The record order toolbar in the Property manager now also contains an internet no option to sort your data. This can be very useful if you print out lists of properties for your agents, so if they get an enquiry, it is easy for them to locate. To activate this feature simply open the Property Manager (It will NOT show if no module is open).

Make sure the all 3 Toolbars are selected. Click “Apply”. Click “O.k”.
It can then be docked (recommended place is at the right of the forms Toolbar) or moved where you choose, simply by dragging it. It is extremely easy to use, simply click on it and select the order that you wish the entries to be sorted in

Validation errors – Warnings:

With validation errors in the Property Manager a red Warning will now be displayed just above the erf no. If all is fine it will display 0 Warnings. Should you want to know more about the warning click on the Warning button, this will then explain exactly what the validation error is e.g. no agent selected or price is invalid. You can now fix the error and save the property. The warning should then display 0 Warnings. This property will now update to the web.

View Stats:

A new button has been added on the property edit form on CyberAgent Desktop, “View Stats”. This will open up a webpage displaying all the web stats. Web stats include “Property Views” and also “Internet enquiries” received. These stats will also display the relevant website on which the property has been listed and viewed by the prospective client. Each individual property will display its own stats.


New Development Manager:


This module in CyberAgent caters for the loading and listing of new developments. It is used in the same way as all other modules in the program. Here is a breakdown of how to load a development:
To start capturing a new development click on the new button (the page button with a folded corner). The next button is the save button (icon of a disk), and the next is the button to delete a development (the red X). The drop down list next to the delete button allows you to easily select any developments you have already captured.

Specify the development name.

Then select the agents by clicking on the “Active Agents” button. To select a single agent, click on the agent’s name, and click on the single arrow pointing to the right (>) (or double click on it). To select a few agents, click on one agent, then hold down the Ctrl button and then click on all other agents required, then click on the single arrow to the right once your selection is complete. To select all agents click on the double arrow pointing to the right (>>). To remove an agent (or multiple agents), follow the same procedures, but use the single arrow pointing to the left (<). To clear the selection, use the double arrow pointing to the left (<<). Once all the agents that work on the development are in the right hand column, click on the save button.
Select a country if needed, then select a province, city and suburb, or click on the binoculars next to suburb, and type in the name of the suburb, scroll down to find the location you want, and click on “Select & Close”. This will put in the province, city and suburb you selected in one go.
Then put in the address, select if this development is active (on the internet) or not, and select priority of the development in the “Website Display Order” (1 will list this development first in the list only on your OWN website).
Then – if needed – add in more “Meta Keywords for search engines”. These are words, that when typed into a search engine, will link to your development. Suggestions are, the province, city, suburb, development name, agents names, and your company name. These that are typed in should all be lower case and must be separated by commas.

Next you have a development note; here you can describe the development. The “Bold <b>” button will add the following into the development note <b></b>. For example <b>GREAT INVESTMENT</b> displays as GREAT INVESTMENT. If you type anything between the greater than and less than sign, this text will display in bold. If you press the “Line Break <br>” button, all text typed after it, will be displayed on the next line (as if you pressed enter).

Now would be a great time to save this record.

You can select a “Main Picture”, “Site Plan Picture” and a “Map to Development” to display on the web, by clicking on the button with the respective name. On the left hand side, you can select a size for the picture (width only – the height is adjusted in proportion). If you select a custom width, you will need to specify the width in the width field. It is NOT recommended to have a width more than 640. Then click on “Select Picture”, and select the jpeg that you wish to show and either double click on it, or click on “Ok”. There is also a button to “Clear Picture” should you need to. Then click on the “Close” button.

You can add in unit information as follows:

Click on the units button, click on the new button (icon of a page with a folded corner). The next two buttons and drop down list work as described above.

Type in the “Unit Description” (e.g. Type A, B or C), the “Cost Price”, “SQ” (Square meters) and “Unit Quantity” (number of unit available) in their respective fields. Then you can select if the units have a “Priv. Garden” (private garden)
Then put in how many “Bedrooms”, “Bathrooms” and “Garages”. You then have 2 “Other” fields where you can specify any other information e.g. carport. Then specify an “Occ. Date” (occupation date).

The next 3 fields are for an “Est. Levi” (estimated levy), a “Panoramic” (panoramic hyperlink) and select a “Status” from the drop down box. The “ABC” button allows you to edit what will be found in this drop down box. If you click on it, it will display the selections one at a time. To edit a record, merely click on it, and alter the text in the top text box. To add a record, use the new button at the bottom left, type in what you wish the record to say and click on the save button. To delete a record, select it and click on the delete button. Once you are done, click on the “Close” button.

Then type in “Unit Notes” and any “Extras” this unit might have, and if you have a “Unit Picture” or “Floorplan Picture” click on the respective button, and follow the instructions as described for the “Main Picture” etc. as described above.
Please note: The order in which the information is added from “Unit Description” to the pictures is irrelevant.
Save this section.

You now can click on “Create Units”. This will allow you to link units captured in the Property Management to the developments section of your website. Simply click on the “Select” button next to the respective unit, select the unit from Property Management to link it to. The “Go” button, will take you to the details of the linked unit in the Property Manager.

Note that the unit numbers, status (sold/pending etc.) can be edited to suit the situation. There are also notes and external agents for you to be able to track additional information per unit very easily.

The unit numbers are characters to allow e.g. 33a and 33b. As such it is sorted from left to right. To prevent unit 12 from displaying before unit 2, put a zero before single digit numbers i.e. 02.

Save once more and then click on the close button.

The next section allows for building specifications. Merely select a heading from the grid, and type in the “Description” field any detail you would like to specify. The include tick will allow (when ticked) or disallow (when NOT ticked) the detail to show on the web. The “Display Order” field will determine which item displays first (1), second (2), etc.

The new, save and delete buttons at the top will allow for the maintenance of the “Heading”.

The last section is to display a “Progress Report”. This allows for a report per date, so you can see all the progress from the first one listed. To use this, click on the new button, select a date for the report, and tick the “Display On Web” check box to show this information (this is optional). You can then type a progress note, and add in up to three pictures for the particular report. The pictures are loaded as all others in this module.

The New Development Module module has been developed to assist estate agencies to market and sell New Development properties. Up until now agencies had to contact us whereby we had to develop web pages to accommodate these new developments at a cost. These developments were also only available on the agencies website only and not on all linked websites (www.cyberprop.com, www.real-estate-south-africa.com, www.cellproperty.com to name but a few).

This module will enable agencies to add the following information about each and every development:
  • Location information (Province, City and Suburb)
  • Main note / write-up on the development
  • Status of the development
  • Meta keywords for search engine optimization
  • Main picture
  • A picture of the site plan
  • Building specifications
  • Progress reports including pictures
  • Units
  • Unit Description
  • Selling price
  • Square meter
  • Bedrooms
  • Bathrooms
  • Garages
  • Private Garden
  • Other 1 and 2
  • Estimate Levi
  • Panoramic field to insert third party reference
  • Unit status (e.g. Now selling)
  • Unit notes
  • Notes on extras
  • Picture of the unit
  • Floor plan of the unit
  • Linked properties to this unit
  • Unit number
  • Status of unit (e.g. Sold)
  • Link reference to the property in the Property Manager

It is not necessary to complete all the fields/sections. If the information is not supplied it will not be displayed. All note fields may contain HTML tags like for instance a bold heading.

Multilevel Security in CyberAgent Anywhere

It is now possible to assign administrator rights to users. It is also possible to allow individual users to view and edit contacts and properties of other agents.

To set this up, click on the Agency Setup icon on the main menu. Click on Agent Setup. This will display your list of agents registered to use CyberAgent Anywhere. Start by clicking the link in the Agent column - next to the agent's name you wish to make the changes to. This will load the agent's details on the right hand pane.

The most import item on this pane is the Agent List section. It defines the agents whose data this user will have access to. It works as follows - either you specify certain agents, or it will accept that you want this agent to have access to ALL AGENTS' data. If an agent belongs to a group he will also be able to edit and view property and contacts where the agent selected is the group.

1. View Only Rights - As opposed to View and Edit (Read and Write)
View Only Property
View Only Contacts

View Only Agents
If Yes then the user is only allowed to only to view the properties, contacts and agents according to the settings above, editing and deleting is not allowed.

2. Contacts - Rights has the following options:
Own contacts only - Only see agents own contacts
View Other Sellers - Only allowed to view the contacts where the contact is marked as a seller
View Other Buyers - Only allowed to view the contacts where the contact is marked as a buyer
View Other Buyers and Sellers - Only allowed to view the contacts where the contact is marked as a seller or a buyer
View All Contacts - Allowed to view all contacts

3. Property - Rights has the following options:
Own property only - Only see agents own property
For Sale or to Rent Property - Allowed to view for sale or to rent property of other agents
For Sale Only - Only allowed to view for sale property of other agents
To Rent Only - Only allowed to view to rent property of other agents
Not Listed Property - Allowed to view No listed property of other agents
All Property - Allowed to view all property of other agents

4. Further down you will find an "Administrative User" check box. When checked the user acts as administrator for those agents selected in the Agent List. In other words, the user will be able to view and edit all those agents in the selected. If no agents are selected the user will be able to view and edit all.

5. Below this you will find the "Sales Administrator" check box. This user is allowed to edit sales data.

CyberAgent Anywhere Sales Changes

CyberAgent Anywhere now has the Sales Manager active.

This Module is only available to Administrators and to Group Administrators.

The module begins with a list of current and past sales for the agency.
A new filter has been added to this list. 
Filtering includes:
    1) Agency lookup for Groups
    2) Date range
    3) Closed, Pending and Cancelled option included


Administrators can then drill down to the underlying sale and view the sale detail.
The sale detail is broken down into 6 sections:
  1) Sale detail
  2) Commission
  3) Commission
Splits
  4) Property History
  5) Accounting Setup
  6) Sales Reports

There is also a page to setup your bank and attorney details.

Add Text to Pictures in CyberAgent Anywhere

It is now also possible to add text to pictures within CyberAgent Anywhere as with our CyberAgent desktop application.

The following can be adjusted;

  • Font
  • Font size
  • Font Colour
  • Horizontal alignment
  • Vertical alignment

If you are happy with the outcome of your picture after you have previewed it you can "Apply" the changes.  A backup copy of the original picture is created in order to restore at a later time should you wish to "Undo" your changes.

Does jealousy make you nasty?

It has now happened more and more that we found a specific competitor of ours, Property 24, being “nasty”. The latest is denying any data imports or exports for our CyberAgent users clients. The fact is that they are more than willing to send it to other sources. This does make one wonder.
 
Why would they, the all and mighty property portal, as they claim, have a problem with a small company like USP Designs?
  • Is it perhaps that they are afraid?
  • Are they scared of loosing market share?
  • Are they scared of loosing existing clients?
  • Or is it just plain jealousy as they are no longer the only market player?
 
At the end of the day they like us should be looking out for their clients as their clients are paying their salaries. Then again, they might be thinking that they do not need to have good client relationships in place as they have a “Big Brother” that will bail them out time and time again. 
 
With my hat on as a client I would expect from my service provider to do its utmost in order to enhance my business. By continuing receiving good service I in return will continue to making use of his services. 
To deny data exports or imports because of one of the above mentioned reasons can be very damaging in the long run. I will be very upset if this was the case with my service provider, especially if data feeds are done for some clients. Does this means;
·        That I am to “small” for them?
·        That I don’t count in their eyes?
·        That the colour of my money is not the same as a bigger agency?
 
They have tried to stop us in every way possible. They have insulted our software, have spread some bad rumors about us, have said that we lie, have taken us to the advertising board and they have sent us legal letters. But guess what? We are still here and are growing stronger day by day with more affiliated property portals joining us. What makes us proud is that we have not once gone out and badmouth them.
 
We are proud of our company. We are proud of our software and service. We are proud of our staff and achievements and we will continue to develop cutting edge software, staying at least a few steps in front of our competitors. We will not sell or promise what we do not have or can not give. We will continue to “serve” our clients in the best possible way in order to improve their business in any possible way.

Property Manager - Grid Setup

Previously if logged in as an agent linked to an account it was possible to view the owner information for example the telephone number. This has now been changed. If it is not your contact, stars will be displayed in sensitive fields.  The same goes for quick print results.

Known Issues

There is a problem in sending email from CyberAgent. We are currently working on the problem and will have a solution soon.

Property Manager - Pictures

It is now possible to add any text to pictures.

The following options are available:

  • Font and font size selection
  • Font colour
  • Horizontal alignment (Left, Center and Right)
  • Vertical alignment (Top, Center and Bottom)

It is also possible to have multi line text. With multi line text, the text will only be aligned top and left.

A preview is available and once you are happy with the layout, you can "Replace" the current picture with the preview.  Before the picture is converted a copy is made of the picture. This will allow you to revert back to the previous version of the picture.

How to find it:

In the Property Manager, click on the "Pictures" button.  On the right side of the form, click on the "Add Sold Text" button to activate the text screen. When closing, if asked to save, select Yes to save changes to the property record in order to force a record update to the Internet with the next Website Update

Very Important

You will need to download new files in order to make use of this utility. After updating to the latest version, go to the Website Update Form. If you see a button on the right, "Download Picture Files", click on it. It will download the files needed in order to use this utility.

This functionality will be applied to CyberAgent Anywhere soon.

Property Manager - Grid Setup

Changing password of agents

View only Administrator Access - VOA

After numerous requests we have added a View Only Administrator access (VOA)

VOA allows for data to be viewed only. No changes or records can be deleted.

View only rights for agents

As administrator it is now possible to set the following rights for each agent in your agency:

  • View Only for Properties
  • View Only for Contacts
  • View Only for Agents

To change these settings;

  • Click on the Agency Setup icon
  • Click on the Agent Defaults button
  • Locate the agent in the list displayed on the left
  • Click on the hyperlink to load the settings for the agent
  • Scroll down to the bottom of the page from where you can change the the View Only setting for Property, Contacts and Agents.

If the View Only is set to NO, then the agent will be able to edit his or her property, contacts and agent detail. If set to YES, then only viewing rights are assigned to this agent.

Matching Property form adjustments

Matching Property

The matching property form was changed to work more like the CyberAgent Desktop form. All buyer requirements are displayed and can also be ignored individually.

It is also possible to search on

  • Not Listed property as well as
  • your own property 

It will not be possible to view property details if logged in as an agent and your security settings does not allow you to view property details of a property that you do not have access to. 

However, the contact detail of the responsible agent is displayed should you want to contact the agent.
